Primary responsibilities

Contribute in all aspects of a complex application process, receiving application materials for over 5,900 applicants including setup, tracking, maintaining and updating confidential files for all student applicants. Process applications from numerous and different sources by performing accurate computer data entry (including confidential ratings) in a quick, efficient manner in an active, fast-paced work environment.

In addition to application processing, the Operations Specialist is responsible for the entry of prospect requests from first-year and transfer students including prospect entry, handling applications, preparing decision letters, responding to telephone and email inquiries from first-year and transfer students and families. Advise, and resolve problems while cultivating good relations via phone and email with prospects, applicants, accepted students, parents, high school officials, community-based organization representatives, alumni, and other offices on campus at all stages of the year-long process.

Serve as a primary staff member for the main Admission and Financial Aid switchboard, answering telephone inquiries, checking and responding to telephone messages, distributing calls to the appropriate staff members and offices, checking and responding to email inquiries and receiving, opening and distributing incoming mail on a daily basis. Assist with visitor reception operations, collection and mailing of travel materials in support of traveling counselors, oversight of calendars related to office equipment (cars, GPS units, printers, water coolers, etc.) and support of other areas in Admission and Financial Aid as needed.  

Provide assistance in the preparation and coordination of on-campus and off-campus Admission and Financial Aid programs and events. Assist in receiving counselor invitations to college fair events and responding in a timely and appropriate manner on behalf of the Office of Admission.

Minimum Qualifications

High school diploma or GED. Minimum of one year of general clerical or administrative work experience.

Excellent organizational and communication skills, outstanding attention to detail, self-starter, and ability to work in a team environment. 

Technical dexterity and advanced computer knowledge in Word, Excel, Access, Outlook, Slate, and Banner with an interest in learning new computer skills. 

Ability to learn the rules and regulations, and applicable policies pertaining to assigned area of responsibility including confidentiality of student information. 

Ability to learn and adhere to Davidson College policies related to Admission, Financial Aid and the greater institution. Ability to understand the college rules and regulations relating to student enrollment.

Preferred Qualifications

Associate or Bachelor's degree

Experience within higher education and/or college admission
